Group Messaging

Easily send group messages by email or text (SMS and MMS) in Rentec Direct property management software. Using the group message feature, you can securely send group messages as Blind Copies (BC) to one or more of the following groups keeping contact information confidential from any messaging option location: 

  • All tenants
  • All owners (for property managers)
  • All vendors
  • All tenants or owners within a single property group (Multi-unit complex)

Text messages are delivered in real-time, and recipients can reply directly to you. 

After emails are sent, you will receive an email confirmation clarifying successful and failed deliveries allowing you to update email addresses or communicate by another method. Messages and replies are stored in your Rentec Direct account.

Using the push notification feature, receive notice of responses directly to the mobile device using the Rentec Direct mobile app.

Group Messages

Group messages can be created from the Tenants, Owners, Vendors, and Properties lists and sent to one or more of the groups. The following steps will walk through how to create a Group Message from the list of Tenants, Owners, and Vendors:

In your Rentec Direct account: 

  1. Click on either:
    1. Tenants
    2. Owners
    3. Settings
      1. Under People, click on Vendors & Payees
  2. Right-click on an individual line and select Messaging from the menu options 
  3. Click on either the Email or Text icon 
  4. Select a Template or enter your message
  5. Click on the 'Send to a Group' link
  6. Click on 'Click Here to Select a Group
  7. Click on the "Group" from the list that displays, that you would like to send a message to

    Pro Tip: To select additional groups, hold down the CTRL key on your keyboard and click as many groups as you would like to include
  8. Click on Send Message

System NoteIf you select ALL tenants, a message will be sent to ALL tenants listed, both active & inactive, but will not be sent to archived tenants.  


Group Message For A Multi-Unit Property

The following steps will walk through how to send Group Messages for Multi-Unit Properties to all Tenants and/or Owners of Multi-Unit Property such as a duplex, triplex, apartment, condo, etc. 

In your Rentec Direct account: 

  1. Click on Properties 
  2. Right-click on the master unit of the complex and choose Group Message
  3. Click on either the Email or Text icon
  4. Select a Template or enter your message
  5. Click on the To box
  6. Click on the "Group" from the list that displays, that you would like to send a message to

    Pro Tip: To select additional groups, hold down the CTRL key on your keyboard and click as many groups as you would like to include
  7. Click on Send Message

Creating Email and SMS/Text Messages with Templates

Message Templates can save you time and personalize messages.

Within the messaging tool:

  • Choose an existing messaging template or 
  • Create a new message template. Using the database field support, customize details of your messages with information such as dates, names, and tenant balances using the Data Fields drop-down options from the editing menu.

Email and Text Messaging History

The system tracks all messages sent and any text messages received. You are able to see individual communication with a tenant, owner, or vendor by returning to their specific Email/Text menu option. All message history is located at the top of every page within your Rentec Direct account by clicking the communication icon.
