Archive or Reactivate Tenants

Archiving a tenant helps keep your active Tenant List tidy while ensuring you never lose access to critical historical information. If circumstances change, you can easily Reactivate the tenant at any time.

Archive a Tenant

The following steps walk you through moving a tenant from the Tenant List to the Archived List. 

In your Rentec Direct account: 

  1. Click on Tenants
  2. Right-click on the tenant and choose Archive Tenant 
  3. You'll be presented with the following warning with two options
    1. Click Cancel if you do not want to move out and archive the tenant
    2. Click Archive Tenant if you would like to move out and archive the tenant

The tenant profile and ledger are then removed from the active Tenant list and placed on the Archived Tenant list.


Archive Grouped Tenants

When tenants are grouped together as co-renters, you have two options: archive the entire group or archive an individual tenant.

To archive tenants in your Rentec Direct account:

  1. Click on Tenants
  2. To archive all tenants in a group:
    • Right-click on the primary tenant
    • Select Archive Tenant
    • This will ungroup and archive all tenants in that group.
  3. To archive a single co-tenant:
    • Right-click on the co-tenant
    • Select Archive Tenant
    • This will ungroup and archive only that individual tenant.

Note: You’ll see confirmation warnings before the action is completed, allowing you to review and proceed if desired.


Reactivate Archived Tenants

After a tenant profile and ledger are archived, they can be easily reactivated along with their historical information.


The steps below will guide you through reactivating an archived tenant.

In your Rentec Direct account:

  1. Click on Tenants
  2. Select Tenant Archives
  3. Right-click on the archived tenant and choose Reactivate

This will automatically restore the tenant’s ledger and profile to the Tenant List, where you can assign them to a property if needed.

Important Note: You may see prompts, warnings, or additional instructions throughout the process. Be sure to read these carefully before proceeding to help prevent errors.
