How Tenants Report Maintenance Issues

Tenants and co-tenants can easily report maintenance issues through the Rentec Direct tenant portal, where each report automatically creates a work order in your account and notifies the appropriate manager.

Before Tenants Can Report Maintenance Issues

Before tenants can report maintenance issues, make sure Tenant Portals are enabled and the following settings are turned on in your Rentec Direct account.

  • Allow tenants to see and create work orders must be set to Yes so tenants can report issues, and view work orders.
  • Receive email when tenant places new work order must be set to Yes so the appropriate manager receives an email notification when a tenant submits a report.

The email notification setting is enabled by default. If it was previously disabled, you can turn it back on in your Program Defaults.

In your Rentec Direct account:

  1. Click Settings
  2. Under Program, click Program Defaults
  3. Under Portal Settings, set both to Yes:
    1. Allow tenants to see and create work orders
    2. Receive email when tenant places new work order
  4. Click Save Changes

How Tenants Report a Maintenance Issue

In the Tenant Portal:

  1. Click Repairs
  2. Click + Report an Issue
  3. Enter a Description and Details about the issue
  4. Indicate whether Entry is OK
  5. Click Report Issue
  6. Upload photos of the issue, if needed

That's it! Rentec Direct automatically creates a work order in your account when the tenant submits the report.

The work order is added to the work order count on your Summary page to be managed like any other work order in your account.

What Tenants Can See

The Repairs section also lets tenants and co-tenants keep track of maintenance requests. Depending on the information shared on the work order, they can view:

  • Work order status
  • Vendor assignments
  • Shared notes
  • Other updates related to the maintenance issue

Who Receives Maintenance Notifications?

When a tenant reports a maintenance issue, Rentec Direct automatically sends an email notification to the appropriate manager based on your account type.

The notification recipient depends on your account type:

  • Rentec Starter and Pro: The notification is sent to the administrator email address listed in Your Contact Information.
  • Rentec PM: The notification is sent to the Maintenance Manager assigned to the property.

When the work order is completed, the primary tenant automatically receives an email notification. The tenant can also return to the Repairs section above to review the completed work order.
