Schedule and Send Reports to Owners and Managers ✨

Rentec Direct property management software allows clients with the PM version of Rentec Direct to schedule reports automatically sent to property owners or property managers weekly or monthly with up-to-date information. 

With the scheduled reports, quickly create a favorite list for reports sent out frequently, send reports immediately, and schedule for future disbursement. Copies of the reports will conveniently be saved automatically.  

System Note: As you become familiar with the new feature and layout of the reports, you can go back to the prior report layout by opening any report and clicking on the Return to the Old Reports link at the bottom of each report.

How to Schedule Automated Reports 

The initial setup of scheduled reports will be made with individual reports and recipients of your choice, as well as the frequency and if you would like to receive a copy.

The following steps will walk you through setting up a Scheduled Report.

In your Rentec Direct account:

  1. Click on Reports
  2. Click on the NEW Try our remodeled reports link
  3. Click on the star next to the report you would like to schedule 

    Note: When you click on the star, the report will be added to your favorites at the top of the screen. To remove a report from the list, click on the star again.
  4. Click on the report under Favorites
  5. Enter the Report Period for the report you would like to create

    Notes:
    1. The Report Period will automatically update each frequency
    2. Pressing ctrl+/ will allow you to toggle between the report being created and the list of reports 
  6. Indicate Bank Account, Owner, or Property
  7. Check the box if you would like to include archived property in the Owner Statement A, Owner Statement B, or Vacant property reports
  8. Submit to create a report

    Note: When reviewing the report, clickable fields such as the category and dollar amount allow you to access the transaction and make any needed adjustments or memos.
  9. Click on the email envelope 
  10. Click Schedule Report 
    1. Indicate the frequency (Monthly or Weekly)
    2. If Monthly is selected, using the dropdown, select the day of the month reports are to be sent
    3. If Weekly is selected, using the dropdown, select the day of the week reports are to be sent
  11. Click on Recipients to view a list of options and select recipient/recipients to be included or check the Myself box only if you would just like to schedule reports to go to you
  12. If you would like to receive an emailed copy of the report, check the Include Myself box
  13. Enter a subject and message
  14. Click on Schedule Emails to confirm the emails are to be sent on your indicated schedule
  15. If you would like to send the report now and on a schedule moving forward check Send Now
  16. Click on Send, Schedule Emails to send the report now and enable the scheduled reports moving forward

    System Note: Managers and users will only be able to see scheduled reports that they've created

Viewing Previously Sent Reports

When reports are delivered using the automated feature, a copy of the report will be preserved in the file library of your Rentec Direct account and the owner's.

The following steps will walk you through accessing the stored reports.

In your Rentec Direct account:

  1. Click on Settings
  2. Under Tools click on File Library

To view reports stored in an owner file library:

  1. Click on Owners
  2. Right-click on the desired owner and click on File Library

How to Edit or Delete Scheduled Reports

The following steps will walk you through editing the parameters or deleting a scheduled report.

In your Rentec Direct account: 

  1. Click on Reports
  2. Click on Scheduled Reports
    1. To delete a report click on the little garbage can to the right of the report
    2. To edit a report, click on the paper/pencil to the right of the report
  3. Make changes as needed
  4. Click on Save Changes


Rentec Labs Feature New features labeled as "Rentec Labs" are just leaving the "lab" (aka our software developers' workshop). A feature included in Rentec Labs has already gone through rigorous internal testing; however, since it is a big new feature it may have had limited testing outside of our offices.
