Archiving and Deleting a Property

Archiving or deleting a property is a simple process in your landlord software. 

How to Archive a Property

Archiving a property is helpful after a transfer or sale of a property. This task also removes the property from Reports pulled using the All Properties option and from other tasks like processing 1099s. 

In your Rentec Direct account: 

  1. Click Properties.
  2. Right-click the property and select Archive Property from the drop-down menu.

  3. The following warning will display:

  4. Click Archive Property to confirm and complete.

System Notes: 

  • If any tenants are currently associated with the property, they will automatically be moved out and become "inactive" on the Tenants tab.
  • If your property is a multi-plex building, you will need to archive the sub-units first before archiving the main property. To archive the sub-units, follow the same instructions above for archiving a property. Once all sub-units are archived, you will then be able to archive the main property.

How to View and Reactivate an Archived Property

Once archived, you will no longer be charged for the property or sub-unit. You can easily view and search all archived properties. 

In your Rentec Direct account:

  1. Click Properties.
  2. Click the Display Archived option.

All archived single unit properties and all sub-units will retain their ledger transactions, however, once sub-units are archived, they are no longer linked to their main property and their transactions are removed from the main property's ledger. To display an archived subunit's transactions on the main property's ledger, the sub-unit first has to be re-activated. 

In your Rentec Direct account: 

  1. Click Properties.
  2. Click Display Archived.
  3. Right-click on the sub-unit name and select Re-Activate from the drop-down menu.


How to Delete A Property

Deleting a property is never recommended as it permanently deletes all information and transactions related to that property. If the property is entered in error it is best to edit the information for that property. If the property is no longer in the portfolio, it is best to follow the above instructions to archive the unit or property. With that in mind, the following are the instructions to delete a property. 

In your Rentec Direct account: 

  1. Use the instructions above to first archive the property.
  2. Then from the property menu choose delete property.
  3. The following warning will display: 
  4. Click the Permanently Delete Property button to confirm and complete. [Warning! Deleting a property is permanent].  

System note: If your property is a multi-plex building, you will need to delete the sub-units first before deleting the main property.  To delete the sub-units, follow the same instructions above for deleting a property.  Once all sub-units are deleted, you will be able to delete the main property.
