Sharing Transaction Attachments
Rentec Direct features the ability to share file attachments on transactions with property Owners or Tenants. With this attachment sharing feature, you will be able to actively communicate with your property owners and Tenants about the status and activities related to their properties and transactions. These transactions can be shared by simply indicating "Share File" when posting the original expense.
Share a Transaction Attachment (when posting a transaction)
Follow these steps to share an attachment associated with a transaction with a property owner or tenant.
In your Rentec Direct account:
- Visit Properties or Tenants
- To share with an Owner: Right-click the Property and choose Post Expense from the drop-down menu
- To share with a Tenant: Right-click the Tenant and choose Post Charge from the drop-down menu
- Enter the details of the expense transaction and then click the Attach Files button
- After the file uploads, you are then presented the option to share the file:
- Share file(s) with Property owner
Note: This process also applies to split transactions, in which one attached file is associated with multiple transactions. On the split transactions page, the selection of properties determines whether the file can be shared. If at least one of the properties has a designated owner, then the sharing option becomes visible. - Share file(s) with Tenant
- Share file(s) with Property owner
- Click Post Expense or Post Charge when finished
When one of your property owners logs into their Owner Portal to view the Statements or Property Statements, or a tenant logs into their Tenant Portal to view their Statements or Tenant Ledger the attachment preview link will appear as a small blue paperclip to the left of the transaction item. Clicking the paperclip will bring up the attachment in a preview window with the option to download it.
System note: If you forget to attach the file when posting the transaction, you will still have the ability to share the file with the owner or tenant from the File Library. The file will display in the Owner Portal Files or Tenant Portal Files but will not be associated with a transaction.
