Send Letters and Notices With the Mailing Wizard ✨
The automated Mailing Wizard tool allows you to send legal notices and letters in bulk or individually through Rentec Direct property management software.
Select your method of delivery:
- Print and mail
- PostGrid offsite Mail Delivery Service
Send letters and notices with the Mailing Wizard
In your Rentec Direct account:
- Click on Tenants
- Click on Mailing Wizard
- Using the dropdown, select a Template or select No Template to enter your own message
- Use the Filter to display the recipients by:
- Days Overdue
- Days Until Lease End
- Name (All tenants)
- Check All Recipients or select individuals
- Click on Fix to update invalid email addresses and page back to return to the Mail Wizard after saving changes
- If No Template was selected, enter your custom message using the toolbar to adjust:
- Insert data fields to populate information from your Rentec Direct account automatically
- Each of the three submission options through the Mailing Wizard allows for review before submission:
- Email
- Click on Email (to create a temporary batch)
- Click on Preview an Email to review before sending
- At the bottom of the page
- Use the dropdown next to the tenant name to review another tenant letter/notice
- Click on the "x" to delete any letter/notice you decide not to send out
- Click on Send
- Print allows you to print letters and notices to your preferred printer and is formatted for two window envelopes, with a dotted line indicating where to fold for a perfect fit
- Click on Print
- Scroll through and Preview the letters and notices
- Use the dropdown to select the Destination
- Select only the Pages you would like to print
- Click on Print (or Cancel to go back to the Mailing Wizard)
- Send Letters creates a batch that allows the documents to be previewed before mailing via PostGrid offsite mailing service
- Click on Send Letters
- Click on Preview a Letter to review before sending
- Select Mailing Class (When the preference is clicked on, the rate for that method will be displayed)
- First Class USPS
- Certified with a tracking number to follow the progress
- Certified Return Receipt with a tracking number to follow the progress and proof of delivery, perfect for legal notices
- Click on Place Order
- Review the Order Detail
- Email
The Mailing Wizard uses message templates with data fields to personalize each letter by automatically populating information specific to each tenant. Learn more about Creating Email and Text Messaging Templates
System Note: A copy of letters and notices sent through the Mailing Wizard will be stored in the Tenants' messaging history. Learn more about how to View Email, Text Messages, and Recorded Messages
Review Order for Errors
The Mailing Wizard of Rentec Direct includes a safety feature to alert you of addresses that can't be verified through USPS. After mailings are submitted, review the order for any incorrect addresses.
In your Rentec Direct account:
- Click on Tenants
- Click on Mailing Wizard
- Click on View Orders
- Check for mailings that failed due to addresses that could not be verified
- Verify the address with USPS
- Update the address
- Edit Tenants address
- Edit Your Contact Info
- Click on Settings
- Click on Your Contact Information
- Update the address
- Click on Save Changes
Cancelling a Letter From Being Sent
You can easily cancel letters from being sent as needed.
In your Rentec Direct account:
- Click on Tenants
- Click on Mailing Wizard
- Click on View Orders
- Click on the Order
- Check the box next to the letters you would like to cancel
- Click on Cancel Selected
