Lead Tracking | Match Property and Move in Leads
Rentec Direct makes it easy to quickly identify leads that match your vacant properties and move them in automatically converting them to a tenant with no additional steps required.
Note: The Lead Tracking feature identifies an Available Property as one with Marketing Info set to Publish Online Listing allowing you to begin your search for prospective tenants even if the current tenant has not yet moved out.
This article reviews the three convenient ways to identify matching leads and move them into a property. Click on a link to jump to a section:
Automatically Receive a List of Matching Leads
Your Rentec Direct software will automatically email you a list of existing matching leads when a tenant is moved out of an Available Property, when the lead preference setting is selected.
Quickly activate your settings to begin receiving Automatic Alerts when an existing lead matches the criteria of a newly vacant property.
In your Rentec Direct account:
- Click on Settings
- Under Program, click on Program Defaults
- Under General Preferences, set the 'Email lead list to Manager when a property becomes vacant?' setting to Yes
- Click on Save Changes

Property Info Card
Each property has an Info Card with clickable links and helpful information specific to that property, including the number of leads are in the software that match the search criteria.
In your Rentec Direct account:
- Click on Properties
- Click on a Property and view the Property Card for Matches
- Click on the number of Matched Leads link. From this screen you can initiate communications to begin your prescreening process or review your lead history.
- Click on Notify These Leads to send an auto-notification letting all matching leads know that there's an Available Property with matching features.
- Right-click on a lead to:
- Send a text or email through Messaging
- Notify Lead of Available Property
- Log Contact Note
- Add notes or reminders
- View previously received communications and documents in Notes & History and the File Library
Tip: Click on the Vacancies link on your Summary page to view only properties that are vacant.
Lead Info Card
Each Lead has an Info Card with helpful information and clickable links specific to that Lead, including the number of Available Properties in the software that match the features criteria.
In your Rentec Direct Account:
- Click on Tenants, then Lead List
- Click on a Lead and view the Lead Card for Matches
- Click on the number of Matched Available Properties. From this screen you can initiate communications to begin your prescreening process or review your lead history.
- Click on Notify All Leads to send an auto-notification letting all matching leads know that there's an Available Property with matching features.
- Right-click on a lead to:
- Send a text or email through Messaging
- Notify Lead of Available Property
- Log Contact Note
- Add notes or reminders
- View previously received communications and documents in Notes & History and the File Library
Pro Tip: All documentation, communications, and verifications saved to a lead File Library will automatically transfer to their tenant File Library when the lead is converted to a tenant or moved into a property.
Moving in a Lead
When a lead is moved into a property, they are automatically converted to a Tenant, and all Notes & History, documents in the File Library, and Messaging history will remain with them as a tenant.
The following steps walk you through moving in a Lead.
In your Rentec Direct account:
- Click on Properties, then right-click on a Property
- Click on Place New Tenant
- Select Place Lead then using the dropdown, select the lead
- Complete the rest of the move-in data and click on Place Tenant
There may be times when you prefer to convert a Lead to a Tenant before moving them into the property. If you would like to convert a Lead to a Tenant at any time, simply right-click on the lead and select Convert to Tenant.
In your Rentec Direct account:
- Click on Tenants, then click on Leads List
- Right-click on a Lead and select Convert to Tenant
