Lead Tracking | Instantly Match New Vacancies with ExistingTenant Leads

Wouldn't it be nice to have a list of potential tenants provided for you each time you move a tenant out? Well, that's exactly what this feature will do for you. As soon as you move out a tenant, a list of potential tenants from your lead list that match the property is automatically emailed to you.

Activate the Automatic Alert Feature

Quickly activate your settings to automatically receive an emailed list of matching leads when a tenant is moved out.

In your Rentec Direct account:

  1. Click on Settings
  2. Under Program, click on Program Defaults
  3. Under General Preferences, set the 'Email lead list to Manager when a property becomes vacant?' setting to Yes
  4. Click on Save Changes


Managing Lead Email Notifications

Once you have activated the Automatic Alert Feature, when a tenant is moved out of a property with the Marketing Info set, you will automatically receive an email with a list of leads with matching search criteria.

From the email, you can:

  • Review the list of lead options
  • Click on an email address to send them an email
  • Click on Place this Prospect to move them into the newly vacant property, automatically changing them from a lead to a tenant.

Q) What information is used to match a lead with a property?

A) Below is a screenshot of what potential tenants see when they are searching for properties. Information is matched in two places in your software:

  • Property Profile - Rent amount (Default Rent) and City & State
  • Marketing Info of Published Listings - # of Bedrooms & Bathrooms, and Facilities

Lead Search Criteria

Q) If a lead becomes a tenant, what happens to all of the documents and messaging history?

A) Each lead has the same options of Messaging, Notes & History, and File Library as the tenants. When a lead is Moved In or converted to a tenant, their information stays with them.
