Managing Leases


Rentec Direct makes it easy to manage leases and stay on top of upcoming expirations. You can set lease dates when you place a tenant in a property in the software, and update a lease at any time. If no lease end date is entered, the tenant is considered month-to-month.

You can also set up alerts to notify you before leases expire and use reports to review all leases by expiration date, including those that have already expired.

Overview

  1. Set how far in advance you’d like to be notified of lease expirations in Program Defaults.
  2. Monitor the Leases Expiring section on your Summary page for automatic alerts.
  3. Review the Lease Expiration Report to identify current and expired leases.

Pro Tip: When a lease is nearing expiration, it’s a great time to review current comparable market rental rates. Whether renewing, transitioning to month-to-month, or listing the property, staying aligned with the market helps maximize returns.


Set Notification Preferences

Specify the number of days you wish to be alerted before a lease expires or a tenant is scheduled to move out.

In your Rentec Direct account:

  1. Click Settings
  2. Under Program, select Program Defaults
  3. Locate Summary Display Options
  4. Enter your preferred number of days in “Days before lease expirations to show notice.”
  5. Save Changes

Pro Tip: Allow enough lead time to take action—such as sending renewal offers, adjusting rent, sending a notice to vacate, or preparing the property for a new listing.


View and Manage Expiring Leases

Stay informed with real-time alerts directly from your Summary page.


In your Rentec Direct account:

  1. Click Summary
  2. Click on the Leases Expiring notification box

From here, you can right-click on any tenant to access the menu with quick action options to:

    1. Send an email or text reminder to the tenant
    2. Update the lease details (dates or rent amount)
    3. Send a lease renewal to the tenant for a signature or as a document

Run the Lease Expiration Report

In addition to the notification on your Summary page, a report is available to view that includes lease expiration dates, including those expiring soon and those that have already expired as of a specific date.
In your Rentec Direct account: 
  1. Click Reports
  2. Under Tenant, select Lease Expiration
  3. Choose the Report Date
  4. Select a specific property or All Properties
  5. Click Submit

Within the report:

    • Click column headers (Property or Lease Expiration Date) to sort results
    • Click a property to navigate to the property ledger
    • Click a tenant to navigate to the tenant ledger
    • Click an email address to send a message directly to the tenant
    • Use your browser’s back button to return to the report
