Data Import

Looking to get started with Rentec Direct fast? Rentec Direct offers data import services for portfolios of 25+ properties to upload your current Tenants (monthly invoiced including current account balances), Properties, Vendors, and Owners.

  1. Using the links provided in the steps below
    1. Copy your data onto our spreadsheet template(s)
    2. Complete the questionnaire
    3. Complete the Prepay Authorization form (required for the first 3 months of subscription fees)
  2. Submit the completed data spreadsheet, questionnaire, and prepay authorization form by email to our secure inbox, docs@rentecdirect.com

Important Notes for Data Import:

  • Do not manually enter any units or tenants into your account:  The import process is designed to add this data for you. Manually entering information and then requesting an import will result in duplicate records.
  • Do not modify the format of the templates: The Excel templates include predefined column headers and sample data. Any changes may prevent a successful import.

Properties and Tenants

Properties and tenants are the heart of the software and account for the bulk of data entry for most clients. Follow these steps to ensure a quick and accurate import. 

  1. Download the Import-Properties-and-Tenants.xlsx file
  2. Complete the Import Questionnaire
  3. Download the Import Prepay Authorization Form
  4. Populate the spreadsheet, questionnaire, and prepay authorization form with your own data
  5. Submit the data spreadsheet, questionnaire, and prepay authorization form by email to our secure inbox, docs@rentecdirect.com

Property Owners (optional)

For Rentec PM version clients, we can also import property owners into the software. 

  1. Download the Import-Owners.xlsx file
  2. Populate the spreadsheet with your property owner data
  3. A guide to help fill out the spreadsheet can be found [here

Vendors and Payees (optional)

For PRO and PM clients, we can import your vendor list as well.

Frequently Asked Questions

Q) How long does an import take?

Most imports are completed within 7 business days. You’ll receive a confirmation email as soon as your import is finished.

Q) Will my past transaction history be imported?

Our import process sets a beginning balance for each tenant account but does not include past transaction history.

If you need historical records, you can:

  • Manually enter past transactions, or
  • Account for prior activity when preparing end-of-year reports and filing 1099-MISC forms

Q) How are late fees handled?

  • Late fees will automatically begin posting the month after import
  • Historical fees would need to be manually added

Advanced Import Assistance

If your data is in a different format or you’re having trouble converting it, we offer advanced import assistance.

  • Advanced data import services are billed at $65 per hour
  • Availability may vary based on current demand and resources
  • Our database specialists will review your existing data
  • We’ll convert it into a format compatible with our system
  • You’ll receive a free estimate of time and cost before any work begins

Important Data Import Notes

  • Only monthly rental data is supported
    • Daily, weekly, bi-weekly, and annual rentals must be entered manually
  • A non-refundable prepayment for your first 3 months of subscription is required before import begins
