Group Messaging
Within the Rentec Direct software, you can send a group message by email or text (SMS and MMS) to different groups:- Send a message to all tenants
- Send a message to all owners (for property managers)
- Send a message to all vendors
- Send a message to all owners within a single property group
Group Messages
Sending a group message to Tenants
In your Rentec Direct account:
- Click Tenants.
- From the Tenants List, right-click on a tenant and choose Messaging from the menu options.
- Click on either the Email or Text icon depending on the type of message you wish to send.
- Click the 'Send to a Group' link.
- Follow the direction to 'Click Here to Select a Group' that now populates in the TO field and select the Group(s).
- Create your message and click Send Message when finished
System note : If you select ALL tenants, a message will be sent to ALL tenants listed both active & inactive, but will not be sent to archived tenants.
Group Message For A Multi-Unit Property
You are able to send messages directly from a multi-unit property such as a duplex, triplex, apartment, condo, etc.
In your Rentec Direct account:
- Click Properties.
- Right-click on any Multi-Unit Property and choose Group Message.
Note: Just like the above single-property instructions, you can click in the TO field and select your Group(s) if you want to include other groups. Otherwise, the message will be sent to all the tenants in the property you selected in step 2.
- Messages are sent as Blind Copies (BC) when sent to groups to keep information confidential
- Create your message and click Send Message when finished.
Creating Email and SMS/Text Messages
- Within the messaging tool, you are able to choose a messaging template.
More information on creating reusable templates can be found here: Creating Email and Text Messaging Templates - You also have database field support where you are able to customize details of your message such as the names and balances of tenants using the Data Fields drop-down option from the editing menu.
Tip: Text messages are delivered directly to the owner or tenant’s mobile device in real-time. They can reply directly to you and their replies (as well as your sent message are archived within the system.
Email and Text Messaging History
The system tracks all messages sent and any text messages received. You are able to see individual communication with a tenant, owner, or vendor by returning to their specific Email/Text menu option. All message history is located at the top of every page within your Rentec Direct account by clicking the communication icon.
