Rentec Direct has an extensive messaging options system for Landlords and Property Managers. Sending Messages via email or text (SMS) to one or more groups.

In Rentec Direct, group messages can be sent via email or text (SMS) to one or more groups.

Creating a Group Message

Messages can be sent to Tenants, Owners, and Vendors individually or as a Group Message. Follow these steps to create a group message for tenants, owners, or vendors. 

In your Rentec Direct account: 

  1. Click on either:
    1. Tenants
    2. Owners
    3. Settings (Vendors)
      1. Under Financial, click on Vendors & Payees
  2. Right-click on an individual and select Messaging 
  3. Click on the Email or Text icon 
  4. Select a Template or enter your message

    System Note: Click on + Add New to create a new template; see details below 

  5. Click on the 'Send to a Group' link
  6. Click in the "To" field to view a list of group options
  7. Click on the "Group" you would like to send a message to, or hold down the "CTRL" key to select additional
  8. Click on Send Message

System NoteIf you select ALL tenants, a message will be sent to ALL tenants listed, both active & inactive, but not to archived tenants.

Group Message For Multi-Unit Properties

Quickly send Group Messages to all Tenants and/or Owners of Multi-Unit properties. Sending messages from the Properties page is only available for group messaging.

In your Rentec Direct account: 

  1. Click on Properties 
  2. Right-click on the primary unit of the complex and choose Group Message
  3. The message will default to an Email. Click on Text if you'd like to change to a text message.
  4. Select a Template or enter your message
  5. The To field will default to all tenants in the property group 
  6. Click on the "Group" from the displayed list, or hold down the "CTRL" key to select additional groups
  7. Click on Send Message

Creating Email and SMS/Text Messages with Templates

Message Templates can save you time and personalize messages.

Within the messaging tool:

  • Choose an existing message template or 
  • Create a new message template. Using the database field support, customize your messages with details such as dates, names, and tenant balances using the Data Fields drop-down options in the editing menu.

View Email and Text Messaging History

Rentec Direct software safely stores records of all messages sent out and text message replies received.

To view all recorded messages in your Rentec Direct account:

  1. Click on Summary
  2. Click on the chat bubble at the top of the screen
  3. Click on new messages or View all messages 
  4. Narrow down the list by filtering messages that have been Read 
  5. Right-click on a received email message and select Mark as Unread to keep the message on your pending list

Note: To view individual message history, right-click on the tenant or lead in the tenants' page, owner in the Owners page, or vendor in the vendors' list and choose message


Tips:

Within the Rentec Direct software, group messages can be sent by email or text (SMS) to one or more of the following groups:

  • All tenants
  • All owners (for property managers)
  • All vendors
  • All tenants or owners within a single property group (Multi-unit complex)

When Group Messages are sent through your Rentec Direct account:

  • Group messages are sent as Blind Copies (BCC), so everyone's contact information stays confidential
  • Text Messages are delivered in real-time, and recipients can reply directly to you
  • After emails are sent, you will receive a confirmation email for successful and unsuccessful deliveries. This way, you can update email addresses or switch to another way of communication if needed. 
  • All messages and replies are neatly stored in your Rentec Direct account
