Managing Online Rental Applications

When a new rental application has been submitted, it will be available to you in your Rentec Direct account where you can:

Locating Rental Applications Received

Once an online rental application has been submitted, you will receive an automatic email notification. Additionally, an indication will appear in the Quick Links on your Summary Page and on the Property Info Card. Once you identify the application, click the link or the applicant to review.


  • An email will automatically be sent to the manager of the property
    • Pro accounts will use the email address in Your Contact Information
    • PM accounts will be the Marketing Manager indicated in the property
  • There will be a clickable indication on your Summary Page

    In your Rentec Direct account:

    1. Click on Summary

    2. Under Quick Access, click on Unread Applications


Review Online Rental Applications

At any time, you can easily view new and historical rental applications. The software will indicate how many unread applications there are.

In your Rentec Direct account:

  1. Click on Properties
  2. Click on Applications ( If there is a number indicated, that reflects how many unread/new applications are available)
  3. Applications for archived properties are automatically excluded. Uncheck the box if you would like to include all applications
  4. Unread Applications will automatically be displayed. Use the search Filter and dropdown to refine your results.

    Tip: Click on the Properties breadcrumb above the Applications title to return to the Properties page.



Run Screening Reports From an Online Rental Application

Screening reports can be ordered for each applicant directly from the application.

While reviewing an application in your Rentec Direct account:

  1. Click on Order Background Check. The order screen will display with the applicant's information auto-filled from the application. The applicant's address can be verified and corrected, if needed.
  2. Click on Next to go to the next screen and select which reports you would like to order
  3. Repeat with additional applicants as needed



Approve, Add, and Move-In Tenants from an Online Rental Application

Easily approve, add, or move in tenants from your online application. When you move a tenant in from an application, the software will auto-fill the tenant information, saving you time and ensuring accurate information is retained.

Navigation Tip: Click on the breadcrumbs above the page title to navigate in the software. Click on Properties to go to the list of properties, click on the property name to go to the property ledger, or click on the dropdown to access the menu.

  1. Click on Approve and select from the listed options, including:
    1. Applications with one applicant
      1. Approve Application: This changes the application to an Approved status
      2. Approve & Move in Applicant: This will add the applicant and place them in the property they applied for
      3. Approve & Add as Tenant: This will add the applicant to your list of tenants, allowing you to move them into the preferred property as an existing tenant
    2. Applications with multiple applicants
      1. Approve Application: This changes the application to an Approved status
      2. Approve & Move in Applicants: This will add the applicants and place them in the property applied for, grouped together as they are on the application, with Applicant #1 being the main tenant with the accounting ledger and others as co-tenants
      3. Approve & Add as Grouped Tenants (Inactive): This will add the applicants to your tenant list, grouped as they are on the application, with applicant #1 as the main tenant and the accounting ledger assigned to them, and the other applicants grouped as co-tenants. These new tenants can then easily be moved into the preferred property as existing tenants
      4. Approve & Add as Separated Tenants (Inactive): This will add the applicants as individuals and can be placed in the property or properties you choose as existing tenants, grouped or individually

Pro Tip: The software saves you time by automatically removing the online listing for the property when the applicant is Moved-in. Uncheck the box at the bottom of the Place New Tenant page to keep the property listed.


Decline Online Rental Applications

Applications can be easily declined while viewing them by clicking the red Decline link. Once the application has been declined, its status will change to Declined, and an option to reopen the application will be available if it is later reconsidered.
